Update Employee Contact Details in Boston ESS

The BPS Office of Human Resources lists home and mailing address, phone number, emergency contacts and selected personal information among ESS functions. Start in the official employee route and use the edit task shown in your account. For a legal name change, marital-status update or another record that may require documentation, follow the current HR instructions rather than assuming a profile field alone completes the change.

Make a change on a device you control and check the saved value after submitting. Some details can affect more than one employee record or require HR review; the public ESS page lists functions but does not promise that one update changes every downstream system. If an item cannot be edited, use the current department HR or Beacon inquiry process to ask what documentation or verification is required.

Choose the field that matches the real task

The public ESS source names address, phone number, emergency contacts, name and marital-status information, along with a benefits summary. Before editing, identify whether you are changing a contact field, asking for a formal name update, or correcting an underlying employment record. A contact correction may be straightforward in the available ESS screen; a legal or classification-related update may require review by HR.

If your objective is only to reach a department more reliably, confirm which phone or email field the City instructs employees to maintain. Avoid changing an unrelated identity field to solve an access problem. For example, an Access Boston sign-in issue should go through the official account-support route described in the current City materials, not by guessing which personal record controls it.

Save and verify a routine contact update

  • Open the relevant personal-information task from the official ESS route.
  • Read the field label and check whether it is home, mailing, phone or emergency-contact information.
  • Enter only the value requested and review it carefully before saving.
  • Check the saved record or confirmation message after submission.
  • If another system still displays an old value, ask HR which record is authoritative and whether additional processing is expected.

The exact screen and save behavior can change. The public source is an index of functions, not a current image of every internal page. If the account displays a review step or additional instructions, follow those prompts and retain a confirmation for your own use. Do not send your address, personal phone number or employee screenshot to this publication.

Name and status changes can need a different path

A formal name change, marital-status update or correction to an employee record may involve verification or supporting documents. The public ESS description does not publish a complete document checklist for every case. Use the current HR process and provide sensitive evidence only through the secure method the City specifies. Do not upload identity documents to a link in an unverified email.

If the ESS field is unavailable or a required record does not update, use Beacon or your department HR contact to ask which office owns the source record. A submitted request is not confirmation that a legal or HR change is complete. Wait for the official status or written instruction before relying on a downstream record.

If the field is missing or locked

First check that the task and account are correct. If other ESS functions are available but one field cannot be changed, it may be intentionally controlled by HR. Ask the responsible HR office what route applies. If the whole ESS application is missing, that is a separate access question: confirm the role or application assignment with the City support contact rather than repeatedly editing profile data.

When you contact support, identify the field and the change requested without including more personal detail than the verified process needs. Use an official secure channel for dates of birth, identification, employee numbers or documents. Keep contact details and account credentials separate

A phone number in ESS is an employee record. An MFA device or recovery method is an account-security setting. They may happen to use the same device, but changing one does not necessarily update the other. Use the official account screen for sign-in security and the ESS or HR path for employee record fields. Never share an MFA code or password while asking about a contact update.
